Terms and Conditions


Tour Information

Our private tours are designed to provide unforgettable, personalized experiences. Here's what you need to know to ensure a smooth start:
  • Departure Point, Timing & Airport Transfers – Your private tour typically begins at your hotel or airport. Please ensure all members of your group arrive with sufficient time and all required documentation as indicated in your tour materials.

    For groups with members arriving from different cities or at different times, we'll coordinate pickup logistics as part of your tour planning. Complimentary airport transfers are provided for guests arriving during the designated windows we've established together.

    If travel plans fall outside these windows or if flight delays cause some members to arrive significantly later, we're happy to arrange alternative transfers or assist with catching up to the tour at a subsequent location. However, any additional costs involved—including extra transfers, modified arrangements, or late joining—will be your responsibility, and refunds cannot be issued for missed portions of the tour.

    Please reach out to us well in advance (and immediately in case of travel disruptions) so we can coordinate the smoothest possible start to your journey.

Substitutions

We strive to deliver every aspect of our tours as advertised, but sometimes substitutions become necessary due to circumstances beyond our control. While such changes are rare, they may affect published meals, accommodations, or sightseeing features.

Additionally, itineraries may occasionally need to be rescheduled – especially to ensure your safety and enjoyment during weather-sensitive activities, such as visits to mountaintop destinations. Our priority is to provide the best possible experience, even when adjustments are required.

If substitutions or schedule changes arise, rest assured we’ll communicate promptly and work to minimize any inconvenience.

Guaranteed Departures

Your private tour is guaranteed! Once your hold deposit is paid and your preliminary itinerary is confirmed, your tour will operate as scheduled. After your full deposit is paid following finalization of your detailed itinerary, your plans are fully secured.

In the rare event an entire tour must be cancelled in advance due to circumstances beyond our control, such as war or other force majeure events, you will receive a full refund.

Your journey is our priority, and we'll keep you informed every step of the way.


Pricing Information

Our tour prices are quoted in Euros and are customized based on your specific itinerary, group size, accommodation preferences, and included services.
  • What’s Included– Tour prices cover all features agreed upon in your customized itinerary, which may include accommodation arrangements or recommendations, transportation, sightseeing, guiding, meals as specified, and personalized services. For specific details, please refer to your custom tour proposal and the "Tour Info" section.
  • What’s Not Included– Tour prices do not include the cost of travel from your home to the tour's starting point and back. This typically refers to international flights to and from the designated airports for your tour's start and end.
  • Airport Transfers– Complimentary airport transfers are included when transportation is part of your tour package. Please note, refunds or price adjustments will not be offered if you choose not to use this service.

We aim to keep our pricing transparent and fair, ensuring you know exactly what's covered. If you have any questions, just let us know!

Payments

We have designed our payment process to be straightforward and collaborative, reflecting the personalized nature of your private tour.
  • Hold Deposit: Once we've agreed on a preliminary itinerary and general pricing framework, a hold deposit (typically 10-20% of the estimated tour price) is required. This secures our commitment to your tour and allows us to move forward with detailed planning.
    Full Deposit: After we've carefully curated your final itinerary and you've approved all details, a full deposit is due to confirm all arrangements and reservations.
    Balance: The remaining balance is due 30 days prior to the start of your tour.

We offer convenient payment options, including credit card, PayPal, and bank transfer. Bank details and a link to our secure payment page are included with each invoice. We'll send a friendly reminder two weeks before your balance is due!

  • Last-Minute Reservations:For reservations made less than 45 days before the tour begins, payment terms will be discussed on a case-by-case basis.

We're here to make the payment process as smooth as possible. If you have any questions or need assistance, don't hesitate to reach out!

Satisfaction Commitment

If you’re not satisfied with the quality of your small-group tour, you may request a refund after the first night and before the next day’s departure. The first night’s hotel cost will be deducted, and your participation in the tour will end.

Old World Tours is not responsible for costs beyond the tour refund. This guarantee applies to all confirmed bookings but may be withdrawn for future reservations.

Cancellations and Cancellation Fees

  • Hold Deposit Stage: If you cancel after paying the hold deposit but before the full deposit stage, the hold deposit will be retained.
    After Full Deposit: Once your detailed itinerary is finalized and the full deposit is paid, the following cancellation fees apply:
       • 21–30 days prior: 20% of the total price
       • 15–20 days prior: 35% of the total price
       • 8–14 days prior: 50% of the total price
       • 1–7 days prior: 75% of the total price
       • On departure day or later: 100% of the total price

Refunds will be processed using your original payment method.

Cancellation fees, or a portion thereof, can be applied towards a future tour with us.


Travel Documentation

Guests are solely responsible for meeting immigration requirements and securing necessary travel documents, including passports. Most countries require passports to be valid for at least six (6) months beyond the end of your trip. Due to stricter international travel regulations, passport processing times in the U.S., Canada, and other countries may be delayed. If you need a new passport, we strongly recommend starting the process early.

Travelers Who Need Special Assistance

Many of our tours may not be suitable for individuals with significant physical disabilities, as they often involve extensive walking on uneven surfaces, climbing stairs, and using transportation not equipped for disabled guests. Unfortunately, we are unable to provide individual assistance for walking, dining, or getting on and off vehicles. Travelers who require such assistance must be accompanied by a qualified companion who will assume full responsibility for their well-being. Guests may choose to skip more physically demanding activities. Motorized scooters are not suitable for our tours.

Please contact us to discuss your specific needs, and we'll work to accommodate where possible within your customized itinerary.

Children

Some of our themed tours are suitable for children, while others are not. Here are general guidelines:
  • Wine and Beer Tours: Minimum age is 16 (the legal drinking age in Europe)
    3rd Reich, WWII, and Spa Tours: Minimum age is 14, with exceptions considered on a case-by-case basis. These tours may not be suitable for younger children.
    Golf Tours: The maximum verifiable handicap is 18 for anyone under 16. Exceptions can be made based on individual circumstances.
    All Other Tours: Minimum age is 8. Experience suggests children younger than 8 may not enjoy these tours.

Participation

To ensure the enjoyment of all guests, Old World Tours reserves the right to accept or reject any tour participant and to remove anyone whose conduct is deemed incompatible with the tour experience.


Privacy Policy

The contact information you provide to Old World Tours is used solely for answering your inquiries and processing tour bookings. We do not sell, share, or disclose this information to any third parties. Please see our Privacy Policy page for further details.

Liability and Responsibility

Old World Tours acts solely as an agent for the guest and is not responsible for any delays, losses, accidents, injuries, sickness, medical expenses, or property damage caused by the actions or negligence of any third party providing services during the tour.

We are also not responsible for any inconvenience caused by delays or schedule changes related to trains, ships, airplanes, buses, or automobiles.

Old World Tours is not liable for the loss or damage of luggage, money, jewelry, valuables, or any other personal belongings. We strongly recommend purchasing travel insurance.

Photographic Release

Group photos of tour participants may be posted on our blog or related tour pages. By default, guests consent to the use of their likeness, unless they provide specific instructions to opt out.

If you wish to decline, please inform Old World Tours during the booking process or at the start of the tour. Guests who opt out are expected to refrain from participating in group photo sessions.

Terms and Conditions Changes

These Tour Terms and Conditions are subject to change as circumstances warrant. The Terms and Conditions current at the time of Reservation Confirmation (with paid Deposit) will apply to clients’ tours. The above Terms and Conditions are current as of October 31st, 2025.
